Training & Development Coordinator
GENERAL DESCRIPTION
The Training & Development Coordinator provides end-to-end coordination and operational support for a growing training and development function serving approximately 200 employees. Reporting to the Head of Training & Development, this role manages scheduling, communications, tracking, and documentation for compliance/safety training, onboarding, leadership and professional development offerings, and administration of the organization’s mentorship program.
This role is ideal for someone who enjoys building structure, improving processes, and being the operational hub that keeps programs running smoothly and consistently. This position does not facilitate training; it focuses on coordination and administration.
REPORTING RELATIONSHIPS
Reports to: Head/Manager/Director of Training & Development
Partners with: HR/People Ops, Safety/Compliance (as applicable), department leaders, subject matter experts (SMEs), and managers
CORE RESPONSIBILITIES
Training coordination & scheduling
Develop and maintain the master training calendar across compliance/safety, onboarding, leadership, and professional development.
Coordinate logistics for instructor-led and virtual learning events (scheduling, invites, room/tech setup, materials preparation, attendance capture, and follow-up communications).
Ensure participants and managers receive clear communications on schedules, expectations, prerequisites, and due dates.
Create and maintain standardized workflows, checklists, and templates for repeatable execution.
Compliance & safety training administration (tracking & documentation)
Maintain accurate completion tracking for required compliance/safety training using existing tools (spreadsheets, shared drives) until an LMS/TMS is implemented.
Run recurring completion checks; distribute reminders and escalation notices based on a defined cadence.
Maintain audit-ready documentation (rosters, sign-in sheets, completion reports, certificates, and evaluation summaries as applicable).
Produce periodic compliance training status reports for leadership.
Onboarding training coordination
Coordinate onboarding training schedules and checklists (day-one essentials, required trainings, and role-based onboarding learning tasks).
Partner with HR and hiring managers to ensure onboarding training assignments are completed on time.
Maintain onboarding training documentation, communications templates, and a consistent onboarding training experience.
Leadership & professional development program coordination
Coordinate registration, scheduling, communications, attendance tracking, and evaluation workflows for leadership and professional development sessions.
Maintain a current catalog/inventory of internal learning offerings and associated program materials.
Support quarterly/annual planning by organizing training requests and consolidating inputs into a workable calendar.
Mentorship program administration
Manage the mentorship program operationally: intake, matching coordination, communications, tracking milestones, and maintaining records.
Coordinate mentor/mentee onboarding by distributing guidelines, templates, and cadence expectations.
Run surveys and check-ins; summarize insights and recommend improvements to increase engagement and program consistency.
Metrics, reporting & continuous improvement
Create and maintain dashboards/trackers (compliance completion, onboarding completion, program attendance, mentorship engagement).
Collect and summarize feedback and evaluation results; identify trends and propose operational improvements.
Document SOPs and ensure training records/materials are stored in an organized, accessible way.
Systems readiness (future LMS/TMS)
Support exploration and future implementation of an LMS/TMS by helping document requirements, organizing current data, and supporting content/assignment setup as needed.
REQUIRED QUALIFICATIONS
2+ years of experience in training coordination, HR/people operations, program coordination, compliance administration, or similar.
Strong scheduling, organization, and follow-through skills with high attention to detail.
Strong written communication skills and a professional, service-oriented approach.
Intermediate proficiency with Excel/Google Sheets and collaboration tools (SharePoint/Drive, Teams, Outlook).
Ability to maintain accurate records and handle employee information with discretion.
PREFERRED QUALIFICATIONS
Experience supporting compliance/safety training tracking and documentation.
Experience coordinating onboarding programs.
Experience administering a mentorship program (matching, communications, tracking, surveys).
Exposure to LMS/TMS platforms (not required).
Familiarity with basic training evaluation practices (surveys, summaries, participation metrics).

ROLE SCOPE NOTES
This role does not facilitate training.
Budget/invoicing is not required initially but may be added later as the function scales.
LMS/TMS may be implemented later; the Coordinator supports readiness and transition.
This role is a full time in person role.
This role would be subject to a background check and approval since it will involve dealing with employee information that is sensitive.
Must have a valid driver’s license.
